Passports and Visas      

When planning your sports trip abroad, ensure that every member of your school, college, university or club has accurate and valid documentation to leave and enter the UK.

Incorrect or Invalid passports, non-matching names on passports and flight tickets, not having a visa for a non-UK passport holder and if required for UK passport holders can have serious consequences.

When a visa is required for British passport holders we can help and advise on the process in obtaining your visa's. All passengers who are not British nationals should consult their embassy to find out if they require a visa to travel to their destination. They should also consider that countries through which they travel to reach their destination may also require visas. A valid passport is essential for all overseas trips.

Whilst the majority of your group may be UK Passport holders, please be aware that some members of your group might hold non-UK passports, which may restrict movement across international borders, even in the EC.

Please check what type of passport each member of your group holds and ensure they have all relevant documentation (including visas where applicable) to allow them to travel to your intended destination and return to the UK.

We will however, request either full passport details or photocopies of each passport where possible at least 3 months before travel. It is is therefore vital that you collect copies well in advance to supply for ticketing purposes and in addition check for any non-UK passport holders and those with out of date passports.

Please note that some countries also require at least 6 months validity on passports beyond the date of departure from that country. These countries include India & China.


In most cases UK Passport holders do not require a visa however many long-haul destinations will require a visa, such as; Australia, China, India and Malaysia. We will endeavour to advise when a visa is required for UK passport holders.

For all non-UK passport holders travelling amongst your group please always check with the appropriate Embassy.

  Collective Passport      

All passengers must be in possession of a valid passport. Approved parties of students, who are British nationals and travelling abroad in the charge of a responsible leader, may travel on a collective passport. The cost of a collective passport is £39.00 and will cover 50 children under the age of 18 years.

If you are not attaining a collective passport and you do not have your own passport, then it is our recommendation that you should apply for one at least six weeks before your trip. The UK Passport Service has to confirm your identity before issuing your first passport and will ask you to attend an interview in order to do this.
